Onboarding

When a customer signs a cloud contract, SAP creates the tenants for the customer. Customers need to perform actions to activate those tenants. Those phases are called Milestones.

This section displays information about the Customer Project Implementation (by SAP Software Product) and tracks progress from System Setup to System Go-Live, based on the customer´s system usage. 

 

Note:

Currently the Onboarding section is only available for the SAP IBP and SAP S/4HANA Cloud.

Procedure

The Onboarding section first needs to be enabled.

  1. Navigate to the Customer Insights dashboard and click on Personalize.
  2. At the bottom of the list, toggle Onboarding to ON.

Go to the Onboarding(opens in new tab) page in SAP for Me.

The following card filters are enabled by default:

System Product – Filters the section on the selected system product. 

Current Project Rating – Filters the section on the selected current project rating. The project rating is always project related and not milestone related. The rating of the project is related always on the most critical milestone.
 

Charts and Tables

  • Onboarding Overview – provides a status overview of key milestones, categorized into Reached, Not Reached, and Overdue. This helps confirm whether the customer has reached specific stages in their implementation. If milestones are not reached or overdue, it indicates that the customer may need assistance to overcome obstacles, with recommendations available in the SAP EarlyWatch Alert report.
    Usually onboarding consists of a pair of a system PROD and TEST. The graph visualizes the process for these pairs for the several milestones which customers need to perform during the onboarding.
    If the pair stays too long on a particular milestone, then the rating changes. Both the rating as well as the other onboarding related data is collected from executed SAP EarlyWatch Alert Reports.
    Click on Milestone to get more detailed information about the milestone itself, the systems and the reason for the current project rating. The detailed information also includes a link to the related SAP EarlyWatch Alert Report where you can find in-depth information on the milestone for projects with a Go-Live date in the last 6 months. If the Go-Live date is older than 6 months, the content is hidden in the EarlyWatch Alert report and only be available in the Customer Insights Dashboard.
    The graph shows the status for each milestone based on the milestone metrics.

    Note:  For the definition of milestone and milestone metrics, check the Onboarding Milestone table.

  • Onboarding Milestone – this table contains a detailed view about the six onboarding milestones. It allows you to closely monitor the progress of each milestone and easily identify areas that may need attention. This detailed breakdown ensures that every aspect of the project implementation is transparent and accountable, facilitating more effective project management and decision-making.

    Note:  Use the settings icon on the right side above the table to add/remove table columns. 

    The following notable columns are also included:
    • Software Product – Here you can see the software product. Not all software products are currently available.
    • Test System ID – The connected TEST system of the pair TEST/PROD. 
    • Prod System ID – The connected PROD system of the pair TEST/PROD Note that this field remains empty if no PROD system is connected.
    • Milestone – Project milestones represent key points in a project's lifecycle, marking progress and changes in system usage and activity. These stages help track the evolution of a project from initial setup to full operation (Go-Live).
    • Milestone Description – a brief description of the milestone.
    • Milestone Date – Provides the date of when each milestone was achieved on the respective system ID.
    • Milestone Rating – Milestone Ratings are defined based on the expected duration of each stage, as determined by Milestone Threshold values. There are three possible Milestone Ratings: 
      • Reached (Green) – the milestone has been successfully achieved. 
      • Not Reached (Grey) – the project is ongoing, the milestone is not yet reached, but still within the expected timeline, meaning it is below the Milestone Threshold. 
      • Overdue (Red) – the milestone was not reached within the estimated timeline, meaning the number of days since the previous milestones was achieved exceeds the Milestone Threshold value. 
    • Current Project Rating – This indicates the overall rating for the project implementing the SAP Product. There are three possible Project Ratings: 
      • In Progress – the project implementation is ongoing, not all milestones have been reached, but it is still within the expected timeline and no milestone is rated as Overdue.
      • Completed – all six milestones have been successfully achieved. 
      • Overdue – the estimated timeline for reaching one of the milestone was not met, meaning there is one milestone rated as Overdue. 
    • Days since Previous Milestone – This represents the number of days between two consecutive milestone dates:
      • If the next milestone date is blank (indicating the milestone rating is Overdue or Not Reached), then the Days since Previous Milestone is the number of days between today’s date and the previous milestone date.
      • If milestones are not reached in the sequential order suggested in the dashboard (i.e., the date of the next milestone is earlier than that of the previous milestone), the Days since Previous Milestone will display a negative value.
        This column is calculated, based on the provided date of the previous milestone. If a wrong milestone is maintained, then you also get wrong days values. This can result into negative number of days. 
    • SAP EarlyWatch Alert – This link leads to the SAP EarlyWatch Alert Solution Finder, where detailed recommendations based on the highest reached milestone of the system pair can be found if the Go-Live was detected in the last 6 months. The SAP EarlyWatch Alert is an automatic service analyzing essential administrative areas in SAP systems and runs weekly for all connected customer systems. Additional system specific recommendations for other topics such as recommended parameter settings, data lifecycle management, and more are also available here.
    • Milestone Threshold (hidden by default) – This indicates the number of days after which the milestone rating changes from Not Reached to Overdue. The threshold value is calculated dynamically, ensuring that the least progressive 25% of customers are rated as Overdue. This column is hidden by default.
